Don’t get caught out, make sure you know what your accounts are, where they are, and how to access them. 

I have had to help a few clients out this week with getting access to their accounts, and even getting their website back online after they let their domain registration expire… on the weekend…

These days many organisations rely on our online platforms and assets for not just communication, but sales and actually DOING BUSINESS! So you need to take care of them.

It doesn’t have to be fancy, a spreadsheet or Word doc will do, but it does need to be secure (you could password protect the document).

Take the time to document ALL of your organisation’s digital assets, such as: 

  • website hosting
  • domain registration (yes, these are different)
  • DNS hosting (it may be included with either your website or domain but make sure you know)
  • email hosting (if not included with one of the above)
  • email marketing system
  • social media channels
  • any other online tools essential to your business that you have accounts with

For each, document:

  • what it is
  • URL or link to (ideally the login)
  • username or password (it’s great to use a tool like LastPass to keep these secure)
  • who is the main person responsible?
  • are the contact details current?
  • who can you contact if there is an issue with them?
  • what is the expiry or renewal date for them?

And even better yet, schedule the renewal dates in your (digital) calendar, with a reminder a few weeks out to pay, or check that credit card details are still current if on auto renewal.

A few organisations got a shock last week when Facebook and Instagram were down, which was platform side, but imagine if you lost access to your own assets! 😱
